Google Docs



What is it?

In February 2007, Google launched their free online applications known as the Google Docs suite. Google Account holders have access to the office suite, which includes applications that are similar to Microsoft's Office suite (e.g. Word, Excel, PowerPoint). Google's suite contains Document, Spreadsheet, Presentation, Form, Drawing, and Tables. One of the major benefits of the Google Docs suite, is that it allows users to create and edit documents online while collaborating in real-time with other users. Since the applications are cloud based, you no longer have to worry about saving your files on a flash drive and/or emailing the it to yourself. In addition, file compatibility is no longer an issue (e.g. Apple's Pages v.s. Microsoft Word) as Google Documents can be exported in several formats.

What and where it can be used in the DPS program?

Pace University is now housing their email accounts using G-Mail and the Google Applications for Education. Using your Pace University username (e.g. "az98765w") you will also have access to Google Docs and the other Applications for Education. Using the Google applications will prove to be beneficial while working on collaborative projects for the DPS program.


Getting Started


The Doc list is the first screen in Google docs where all of the files that you own, and that are shared with you, are listed. It can be overwhelming, especially if you are using Google with students. There are several strategies that will help you manage this repository.

Filter through searches

  • Click the down pointing arrow on the right of the search box.
  • The "Advanced Search Options" will appear - use these to narrow what is visible in the Doc List.
  • As you click options, notice that the criteria is accumulative.
  • To remove a criteria, click the "X" to the right of the item.

Starred Items (for importance)


  • Using the docs Stars is a good way to quickly retrieve the files that are very important or that you are currently working on.
  • Simply click the star to the left of any doc that you want to highlight.
  • When you want your starred items, click "Starred" on the top left of the sidebar.

Creating Collections
Collections act like folders. They organize your listes. Sub-collections can be creation within an initial collection for increased organization.

  • Collections are a simple way to organize files.
  • There are two groups of collections: "My Collections" and "Collections Shared With Me"
  • Clicking on a collection will show the files organized by that collection in the List and the collection name will be highlighted in red

Create, Name, Delete a File

Create a document

Before creating a new document, decide who your audience is. If you will be using the doc with student, make sure you are logged into the Student Side.

Once you've logged in, go to your Documents List, click the Create button, and select Document.A window with a new Google document will open, and you'll be able to edit the document, share it with other people, and collaborate on it in real-time. Google Docs saves your document automatically, and you can always access it from your Documents List.

Name a documentWhen you create a new document, Google Docs will name it Untitled by default.

  • To choose a name other than Untitled, click the File menu, and select Rename. From here you can choose and confirm your document's title. You can also edit the name by clicking the title displayed at the top of the page, and making your changes in the dialog that appears. Titles can be up to 255 characters long.

Delete a documentDelete an item that you own from your Documents List

    1. From your Documents List, select the item(s) you want to delete.
    2. From the More menu, choose Move to trash.
    3. If you're deleting a shared doc that you own, you'll see an option to change the ownership of the document.
    4. The item will be moved to the Trash.
    5. To purge individual items from Trash, select them and choose Delete forever. To purge all your items click Empty Trash in the upper left.
Remove an item that you don't own from your Documents List
    1. From your Documents List, select the item you want to delete.
    2. Go to the More menu, and select Unsubscribe.
